This Memorandum of Understanding outlines the mutual agreement between ASUTIL Nexus 2025 organizers and its attendees. By registering for the event, attendees agree to the following terms:
- What Your Registration Includes: Access to all conference sessions; Networking Time; Opening and closing cocktail events; Gala dinner, Coffee breaks and lunches; the Social Activity on Friday (limited to 80 participants; specific registration required. Further details will be shared with registered attendees in late April 2025).
- Sponsorship Agreements Sponsorship arrangements may differ from these general terms. Any exceptions will be clearly stated within the specific sponsorship agreement.
- Respecting Venue Policies Attendees are expected to follow the guidelines set by ASUTIL and the Swissotel Lima, our event host. Non-compliance could result in removal from the event.
- Registration Policy Registration fees are non-refundable. However, exceptions for humanitarian reasons may be considered by the ASUTIL Board of Directors.
- Transferring Your Registration Registrations can be transferred to another person if:
- Transfer maintains the same registration category (member or non-member).
- ASUTIL approves the transfer in advance.
- Limited Capacity and Early Bird Opportunities Attendance at ASUTIL Nexus 2025 is capped. Early bird registrations are limited by both availability and dates. Reservations are not permitted, and only confirmed registrations qualify for the special pricing.
- Event Changes While we strive to maintain the planned schedule, unforeseen circumstances may require adjustments. In such cases, attendees will be promptly informed.
- Safety and Responsibility ASUTIL and its partners are not liable for personal injuries, loss, or damage to belongings. Attendees are encouraged to take necessary precautions, including securing travel insurance.
- Photography and Media During the event, photos and videos may be taken for promotional use by ASUTIL and its conference sponsors. ASUTIL will respect attendee privacy and honor requests to opt out. Media will not be shared or sold to third parties.
- Creating a Positive Environment Attendees are expected to act respectfully and professionally. Harassment, discrimination, or disruptive behavior will not be tolerated.
- Who Can Attend Only individuals aged 18 and older may participate in ASUTIL events, whether as attendees or companions.
- Food and Beverage Meals and refreshments are provided by trusted vendors. While we aim to accommodate dietary needs, specific restrictions may not always be met.
- Acknowledgement of Agreement By registering, you acknowledge and agree to the guidelines outlined in this Memorandum of Understanding.
